Customizing Email Templates

Types of Email Templates

  • Invoice Delivery - When sending invoices
  • Quote Delivery - When sending quotes
  • Payment Reminder - Before and after due dates
  • Payment Confirmation - When payment is received
  • Thank You - After payment or project completion

Editing Templates

Email templates are configured within invoice workflows:

  1. Go to Settings → Workflows
  2. Edit or create a workflow
  3. Scroll to the Email Templates section
  4. Customize the subject line and body
  5. Use variables for dynamic content
  6. Preview and save

Available Variables

  • {client_name} - Client's company name
  • {contact_name} - Contact person's name
  • {invoice_number} - Invoice reference
  • {quote_number} - Quote reference
  • {amount} - Total amount
  • {due_date} - Payment due date
  • {company_name} - Your company name
  • {payment_link} - Online payment URL

Email Signature

Set up your email signature:

  1. Go to Settings → Email Settings
  2. Create or edit your signature
  3. Include contact information
  4. Add social links if desired

Testing Templates

Before using a new template:

  1. Send a test email to yourself
  2. Check all variables populate correctly
  3. Verify formatting and links
  4. Review on mobile devices
