Managing Multiple Contacts per Client
Many businesses have multiple stakeholders. TallySpark lets you manage different contacts for billing, projects, and general communication.
Contact Types
- Billing Contact - Receives invoices and payment reminders
- Primary Contact - Main point of contact
- Project Contact - Project-specific communications
- Additional Contacts - Other stakeholders
Adding a Contact
- Open the client profile
- Click Add Contact
- Enter contact details:
- Name
- Email address
- Phone number
- Job title
- Contact type
- Save the contact
Setting the Billing Contact
The billing contact is important because:
- They receive invoice emails
- They get payment reminders
- They're the default recipient for financial communications
Managing Contact Preferences
For each contact, you can configure:
- Email communication preferences
- Notification settings
- Access permissions (if using client portal)
Contact History
Each contact shows their interaction history:
- Emails sent to them
- Invoices they've received
- Quotes sent for review
Transferring Contacts
If a contact moves to a different company:
- You can move them to another client
- Or create them as a new contact under the new client
