Setting Up Custom Email Domains

Sending invoices from your own domain (like [email protected]) builds trust and strengthens your brand. TallySpark's domain authentication system makes this setup straightforward.

Benefits of Sending from Your Own Domain

  • Professional Image - Emails from yourcompany.com look more legitimate
  • Better Deliverability - Authenticated domains have higher inbox placement
  • Brand Recognition - Clients immediately recognize emails as coming from you
  • Trust and Credibility - Custom domains reduce spam marking

Adding Your Domain to TallySpark

  1. Navigate to Settings - Email from your sidebar
  2. Scroll to the Domain Authentication section
  3. Click Authenticate Domain
  4. Enter your domain name (example: yourcompany.com)
  5. Choose your sender email local part (the part before @)
  6. Click Start Verification

Note: Type only the part before the @ symbol (like "invoices" or "noreply"). The system displays "@yourcompany.com" automatically.

Configuring DNS Records

After initiating verification, TallySpark displays the DNS records you need to add:

  1. A modal appears showing a table with Type, Host, and Value columns
  2. You'll see 2-3 CNAME records required for authentication
  3. Click the Copy button next to each record
  4. Log in to your domain registrar or DNS hosting provider
  5. Navigate to the DNS management section
  6. Create new CNAME records using the values from TallySpark
  7. Save your DNS changes

DNS Propagation: DNS changes can take up to 48 hours, though most complete within 1-2 hours.

Verifying Your Domain

  1. Go back to Settings - Email - Domain Authentication
  2. Find your domain in the list
  3. Click Check Status (refresh icon)
  4. TallySpark queries your DNS records to verify configuration

You'll see one of several status indicators:

  • Green checkmark + "Verified" - Domain is ready to use
  • Yellow alert + "Verification in progress" - DNS still propagating
  • Red X + "Verification failed" - DNS records missing or incorrect

Troubleshooting Verification Issues

  • Double-Check Record Values - Ensure you copied the entire Host and Value exactly
  • Verify Record Type - Confirm you created CNAME records, not A or TXT
  • Wait Longer - Some DNS providers are slower; wait 24 hours
  • Check Propagation - Use a DNS checker tool to see if records are visible globally

To disconnect a domain, click the Remove button (red) next to the domain entry.
